Procedure Statement


Effective immediately, all IT-related requisitions and direct credit card purchases MUST be emailed to LeeAnn Haines (hainesl@newschool.edu ) in Information Systems for review.  

She will respond back to your request within 24 hours.

Equipment includes items like computers, printers, copiers, and multifunction machines. The Purchasing department has established relationships with vendors that supply equipment to the university. Their pricing structures are extremely competitive and their turnaround time meets our requirements.

In keeping with the university's sustainability efforts, the PC and laptop hardware recommended in these pages has earned EPEAT's highest rating, Gold. EPEAT is part of the Green Electronic Council, which evaluates the impact of electronic products on the environment.

EPEAT is based on the IEEE 1680 family of standards for electronic product environmental assessment. Desktops and laptops that meet 23 required environmental performance criteria can be registered in EPEAT by their manufacturers. Registered products are rated Gold, Silver, or Bronze, depending on the percentage of 28 optional criteria they meet above the baseline criteria. EPEAT operates an ongoing verification program to ensure the reliability of the registry.

HP

Please contact the Help Desk before you submit a purchase requisition form for computer-related equipment. The Help Desk will help you determine whether your purchase is compatible with existing equipment and our network services.

Instructions for Purchasing an HP Computer

1.    Log on to www.hp.com/buy/newyork.

2.    Click on the category of product you would like—Desktops, Tablet PCs, All in One units, etc.

3.    Select a model.

4.    Select Standard Model or click on Customize It to view, change, or upgrade unit specifications.

5.    Change specs or leave as is.

6.    Scroll to the bottom of the page, then click on Quote it.

7.    Print out quote sheet.

8.    Attach quote sheet with purchase requisition and send to Purchasing.

Apple

Please contact the Help Desk before you submit a purchase requisition for computer-related equipment. The Help Desk will help you determine whether your purchase is compatible with existing equipment and our network services.

Instructions for Purchasing an Apple Computer

1.    Log on to www.Apple.com.

2.    Click on Education (gray lettering on top).

3.    Click Higher Education.

4.    Click Apple Store.

5.    Click Shop for Your School.

6.    Click Higher Education.

7.    From the drop-down menu, select The New School. The New School recommend systems page will open.

8.    Click on the unit of your choice.

9.    View the specs of the units.

10.    Add or leave as is on the specification sheet.

11.    Update pricing for additions.

12.    Send for proposal. 

When you send for a proposal, the proposal number appears on the top left-hand side on the page. Print out the Web proposal and submit a purchase requisition with the Web proposal printout.

Receiving and Installing Computers

All units are shipped to 55 West 13th Street—Mailroom.

The Help Desk will contact you when the PO for your new computer is processed. At that time, they will help you back up the file on your old machine and discuss the configuration of your new machine. You will be given an estimated delivery date. When your machine arrives, call the Help Desk at extension 2828 and they will schedule the installation. The installation will generally occur within three days of delivery.
