Instructions

University space for non-scheduled classes is at a premium.

Submit your application as early as possible.

1. Application
Send an e-mail to Mary Doctor at doctorm@newschool.edu. Please include the date; times expected number of attendees and type of event in the e-mail. After Mary identifies a space and reserves it, fill out an application for space usage.
Bring application to liaison. The liaison will: ensure that the application is completed correctly; the building hours; appropriate signatures; FOAP numbers and certificate of insurance (if needed) have been acquired.
Liaison should fax, interoffice or hand deliver application to the attention of “Mary Doctor, Space Reservation Coordinator”.

Within 48 hours, you will receive from Mary, via e-mail, one of the following responses:

  1. Confirmation of your requested event including; date, location, time and general instructions.
    OR
  2. E-mail stating that you have not completed the form appropriately.

Once the application is corrected you will receive a confirmation.


2. Planning Event
Once you have received the confirmation the event coordinator will need to do the following:

Under “Location & Space” find the room layout for the space you will be using, print it out and plan your setup.


3. Facilities Response
At least one week in advance, send Facilities Response a work order via email requesting the set-up and break down for the room.

Please be advised, your event must be confirmed before you contact facilities.

4. Audio / Video
At least one week in advance, send A/V a work order online through their Web site for the equipment you will be needing and times.

IIf your event requires additional staff, please notify Brian Kase x2310 at least 2 weeks prior to event.

5. Security
If your event requires an adjustment to published building hours, it is the event coordinator’s responsibility to contact Linda Adams and cc Mary, via e-mail with your FOAP number requesting extension.

If approved, Linda Adams will then notify security and maintenance of this adjustment he FOAP number supplied will be charged.
If you are expecting a large crowd or the event is getting a lot of press, you should notify security ASAP (cc Linda Adams).

6. Catering
If your event will be catered, it MUST be handled by the university caterer, Chartwells.
Please contact the director of dining services x4616.

In the event of cancellation: Please inform scheduling as soon as possible.
